Terms and Conditions

1. Payment  

(a) It is the customer’s responsibility to check the reservation and ensure that the particulars contained therein are correct. 

(b) Your booking is not considered definite and no contract will exist between you and Relax and Renew Events until we receive full payment from you. 

(c) Our policy for Credit Cards and Data Privacy is set out in paragraph 13 below. 

(d) We do not take deposits. Full payment is due at the time of booking and is payable by BACS transfer. 

(e) Details for bank to bank transfer (BACS) will be sent to you on request.

(f) The price is the exact amount to be received by us, irrespective of fluctuations in currency and irrespective of any third party transfer charges. If you choose to pay by electronic transfer, please instruct your bank to charge all costs to you in order to avoid a shortfall in the amount that we receive. 

(g) Relax and Renew Events reserves the right to offer discretionary discounts and this does not affect the status of any guests who have paid the full price and no discount will then become due to them. 

 

2. Cancellation by customer  

(a) You (or any member of your party) may cancel your booking at any time prior to the start date of the retreat, providing that the cancellation is made by the person submitting the booking form and is notified to us in writing via letter or email.

(b) Cancellation will take effect the day such notification is received by us. 

(c) If cancellation is made more than 6 weeks before the start date of the retreat, we will retain £100 and return the remainder of any payments you have made to you.

(d) If cancellation is made less than 6 weeks before the start of the retreat, we will retain 100% of the cost of the retreat. However, if another person can be found to take your place, then we may offer you a 50% refund at our discretion.  

(e) Refunds and returned payments are normally settled within 10 working days of the date of cancellation. Once the retreat has begun, no refund or part refund or unused portion of the retreat will be repaid in the event of cancellation by you. Bookings are for the stated period of the retreat.

 

3. Cancellation by Relax and Renew Events  

We reserve the right in any circumstances to cancel a retreat, in which case we will offer a full refund of all monies paid which will normally be settled within 10 working days. We do not accept responsibility for any costs, expenses (including travel expenses), liability or other loss (including loss of opportunity or enjoyment) incurred.

 

4. Travel Arrangements 

All travel arrangements to and from the retreat are your responsibility and made at your own cost. Relax and Renew Events shall not be held liable for any consequences arising from delays or cancellations to your travel arrangements.  

 

5. Insurance 

We recommend that all customers have relevant travel, cancellation and medical insurance for the duration of this retreat. You should bring the policy with you in case of an emergency.  

 

6. The Venue 

(a) The customer shall not use the property except for permitted use and shall not use the property for any offensive, noisy, dangerous, illegal, entertainment, immoral or improper purposes. The customer shall not do anything which may be a nuisance or annoyance to Relax and Renew Events and its guests, staff or owners. 

(b) The customer shall keep all retreat venues fixtures, chattels fittings, furniture and effects in a clean and good condition and shall replace any articles which are damaged or missing with articles of a similar kind and of equal value. 

(c) The customer must hold Relax and Renew Events and its officers, employees and agents harmless for any loss incurred from a breach of clauses 6(a) and 6(b).

7. Your Health 

(a) If you have a medical condition, are injured, pregnant or have had surgery within the past year or since the time of booking, you MUST immediately inform Relax and Renew Events via the Attendee Form. In some circumstances we may request you to provide a letter from your GP confirming that it is safe for you to attend yoga classes.  

(b) If a medical emergency arises we will do everything in our power to assist you but Relax and Renew Events is not responsible for the outcome of any such emergency.

(c) Whilst all measures are taken to ensure a high standard of health and safety, we are situated in the countryside where the land is uneven and we shall not be responsible for any injuries caused by uneven terrain. 

 

8. Amendments by Relax and Renew Events  

Occasionally, changes may have to be made (e.g. class times or other arrangements), which we reserve the right to do at any time and shall inform the customer of as soon as possible. If your accommodation has to be changed for any reason, we will do our utmost to provide accommodation of a similar rating. If a significant change becomes necessary, we will inform you as soon as reasonably possible if there is time before your arrival.  Other than our obligations in the preceding sentences of this clause 8, we have no responsibility to you for changes.

 

9. Our liability to you 

(a) Subject to the Terms and Conditions, we accept responsibility for ensuring that the retreats are supplied as described and that the services we are contractually obliged to provide are to a reasonable standard. 

(b) We do not accept any liability for cancellations, delays or changes caused by war, threat of war, terrorist actions or threats, closure of airports, civil strife, industrial action, natural disaster, technical problems to transport, staff cancellations, unforeseen changes in your personal circumstances or other events beyond our control.

(c) We are not liable for any injuries you may incur. You acknowledge that yoga, like all physical exercise contains risk of injury, and yoga classes are undertaken at your own risk. We are not liable for any illness or injuries, medical or psychiatric conditions which may develop during or subsequent to the retreat. We advise all guests to stop and rest if they are feeling any pain or sickness at any point during the yoga sessions. 

(d) We cannot accept any responsibility for loss or damage of personal possessions or valuables of the customer for the duration of the retreat or incurred during the retreat.

(e)  We are not responsible for the individual behaviour of any guest.  

(f) We reserve the right to ask you to leave the premises at our discretion if your behaviour is disruptive or abusive. Relax and Renew Events will not refund payment or accept any consequential liability damages or loss in this event. 

(g) The customer has sole responsibility for any decisions they may make following the retreat.  Relax and Renew Events accepts no liability for the customer’s actions. Relax and Renew Events has no liability for any loss incurred by any customer whether financial or otherwise, in connection with the retreat, or for any perceived failure (including as a result of the negative or wilful default of Relax and Renew Events) by the customer, whether justified or otherwise, to achieve their desired outcome or goals.

 

10. Confidentiality:

Personal information or business information supplied to Relax and Renew Events by the customer during the retreat will be treated as confidential. It will not be disclosed to a third party without the customer’s prior permission, save where required by law.

 

11. Complaints 

If you have a problem during your retreat, please let us know immediately, and all attempts will be made to put things right. Any retrospective complaint must be made in writing to relaxandrenewevents@gmail.com within 14 days of the end of your retreat. 

 

12. Website Disclaimer 

(a) The information contained on the Relax and Renew Events Website is for general guidance on matters of interest only. Given the changing nature of laws, rules and regulations, and the inherent hazards of electronic communication, there may be delays, omissions or inaccuracies in information contained on this website.  

(b) Certain links in RelaxandRenewEvents.com connect to other Web Sites maintained by third parties over whom Relax and Renew Events has no control. Relaxandrenewevents.com makes no representations as to the accuracy or any other aspect of information contained in other Web Sites.  

(c) Relaxandrenewevents.com and all the Content on it is owned by Relax and Renew Events (or its licensors and content providers). All rights in the Content are reserved to their respective owners, unless expressly stated otherwise.

(d) You may not:

  • Use any Content on this Site for personal gain, for any commercial purpose, to advertise or sell any products or services, or to promote a business;

  • Copy, transmit, store or distribute any part of this Site, unless we have expressly indicated that you may do so. You may not alter, modify, adapt, reverse engineer, disassemble or create derivative works of any software which is accessible through this Site; or

  • Collect or use any personal details from this Site.

 

13. Privacy Policy  

(a) The Relax and Renew Website uses cookies, tracking pixels and related technologies. Cookies are small data files that are stored on your device. Our site uses cookies for a variety of purposes, including to operate and personalise the website. Also, cookies may also be used to track how you use the site to target ads to you on other websites. Cookies are used for administration of the site system. Our cookies do not automatically capture or store any personal data. However, if you'd prefer to restrict, block or delete cookies from relaxandrenewevents.com, you can do so from your browser. This information is in compliance with recent legislation.

(b) We do not store credit card details. We do not share sensitive personal information with third parties. 

 Links from our site to other websites are not covered by our privacy policy. 

 

14. Marketing Communications

By signing up for our events you are consenting to being sent marketing materials by us from time to time, you can unsubscribe from these at any time by clicking the link that will be at the bottom of the emails. If you do not wish to be sent marketing communications you can let us know at the time of booking and we will remove you from the list. For the sake of clarity, marketing communications do not include those communications we need to make in order to tell you about the logistics of the event or any changes to its set up.

 

15.Children

Due to the nature of the events we run, persons under the age of 18 are not permitted to attend and you represent to us that you are over the age of 18.
